Respecting your privacy and safeguarding your data
Clod Ensemble are a touring performance company and registered charity. We want to learn more about our audiences, improve our communications and deepen our engagement. As part of this commitment Clod Ensemble promise to take good care of your personal data and uphold your privacy.

This policy will address the following questions for each interaction you might have with us:

When you visit our website
clodensemble.com and performingmedicine.com are owned and managed by Clod Ensemble. When you use our website, you are agreeing to the terms set out below.

Our website uses the web analytics service Google Analytics. Google Analytics uses “cookies”, which are text files placed on your computer, to help analyse how you use our site. The information generated by the cookie about your use of the website (including your IP address) is transmitted to and stored by Google on servers in the United States.

When you join our mailing list
If you would like to join our mailing list you will asked to actively opt in and will be given the opportunity to read this Privacy Policy beforehand. Your email address will be saved by the American e-marketing company MailChimp. We will be send you regular updates on our work and events and let you know how to book tickets to our productions. From time to time we may also ask if you would like to become a friend of the company or make a donation. Each email we send will include details of how to unsubscribe from our mailing list. We will not contact you again if you chose to opt out of receiving emails from us.
When you make a donation
When you make a donation we will keep a record of the details of the gift (amount, date, purpose) and your Gift Aid status and your name, address and email address. We will not add you to our mailing list without your permission.
When you attend one of our shows at a partner venue
We may get your personal information from our partners or presenting venues if you opt-in to share your details with us when you make a booking or enquiry about one of our shows. This personal information may include your name, address, email address, telephone number, country of residence and post code.

We collect and retain this data for marketing and analysing purposes and hold no more information than is sufficient for those purposes. We will never sell, rent or trade your personal information to third parties.
When you attend an event run by Clod Ensemble
When booking for an event run by Clod Ensemble we will ask you for your name and email for administration purposes. You will also be given the option of joining our mailing list. We will not add you to our mailing list without your permission. We may also ask you about your access requirements. This is in order to help us support you need and will only be kept on record for as long as is necessary. We use event registration website Eventbrite for event booking.
When you share feedback with us
We may ask you to share your feedback on a production or event you came to. Our feedback forms will always include information on how your comments will be used and let you know who the information will be share with. This might include the general public, our audiences, funders, board and other stakeholders.
When you complete our Equal Opportunities form
When you complete our Equal Opportunities form we ask you to share sensitive information about yourself, including your gender, age, sexuality and if you consider yourself to have a disability. Selecting not to include any of this information will also be an available option. This information is collected anonymously and we will ensure that your data remains confidential. We will only share this information as a set of anonymous figures.
Security of data and who we might share your personal information with
Clod Ensemble stores all personal information on a server in a secure environment. While we cannot guarantee the security of the Internet, we do take precautions to protect your information. All information we store is password protected, and these passwords are accessible only to those with permission to see it. As such, only employees and approved contractors and developers who need the information to perform specific jobs have access to personal information.

Your personal information might be passed to a third party if they need it to provide you with services, to execute the communications we send to you, to process a donation, or where you have otherwise consented to being contacted by selected third parties, such as artistic partners and associates. Examples of these third parties include our bulk email distribution service provider and audience analyses. Some of our suppliers run their operations outside the European Economic Area (EEA). Although they may not be subject to same data protection laws as companies based in the UK, we will take steps to make sure they provide an adequate level of protection in accordance with UK data protection law. By submitting your personal information to us you agree to this transfer, storing or processing at a location outside the EEA (including in the United States).

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal information, we cannot guarantee the security of your information transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

We do not store credit card details.

Except as set out in this policy, we shall not disclose your personal information unless obliged to, or allowed to do so by law, or where we need to in order to run our business (e.g. where other people process information for us). In such circumstances, we ask those people to give us confidentiality or non-disclosure undertakings. We will not share your information other than as described above without your express consent.

Correcting or Deleting your information

You may instruct us to provide you with any personal information we hold about you. In order for Clod Ensemble to release this information, you may need to supply us with appropriate evidence of your identity (for this purpose, we will usually accept a photocopy of your passport certified by a solicitor or bank plus an original copy of a utility bill showing your current address). Any access request will be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.

Third party providers

Some of our service providers may have access to your data in order to perform services on our behalf.

We use Podio, a third party provider, for our customer relationship management (CRM) system. This secure cloud-based system is where we store the personal data of our business contacts, and monitor your engagement and interactions with our services. Podio’s privacy policy
